- Your name and job title
- Business or facility name
- Email address

Information from performing services. In the course of providing service, we create records including inspection findings, service dates, before-and-after photographs of equipment, and compliance documentation. These records generally document equipment and facilities rather than individuals, but may include the names and contact details of facility staff.
Sensitive data. We do not intentionally collect sensitive personal information — health records, biometric data, racial or ethnic origin, or similar categories. Please don’t include that kind of information in messages to us.

We use the information we collect to:
- Respond to quote requests and questions
- Schedule, perform, and follow up on cleaning and inspection services
- Prepare service reports, compliance documentation, and photographic records
- Send invoices and process payments
- Maintain service history so we can advise on cleaning frequency and compliance

We do not sell your personal information, and we do not provide it to third parties for those parties’ own marketing purposes.
Text Messages and Phone Calls
If you give us your phone number, we may call or text you about your service request, scheduling, or an active job.
We do not send marketing text messages. If that ever changes, we will obtain your express written consent first, and consent will never be a condition of purchasing our services. You can stop any text messages at any time by replying STOP. Reply HELP for assistance. Message and data rates may apply.
Your mobile phone number is not sold or provided to third parties for marketing purposes.
How We Share Information
We share personal information only in these circumstances:
Service providers. We use third-party companies to operate our business, including our website platform (Carrot), our email provider (Google Workspace), our website analytics and advertising tools (Google Analytics and Google Ads), and our invoicing and payment processing provider. These providers may access your information only as needed to perform services for us.
Subcontractors and technicians. Where a job requires it, we share the contact and site information necessary to complete the work.
Facility owners, property managers, and compliance authorities. Where you have authorized it or where required by a service agreement, we may provide service records and documentation to a building owner, management company, insurer, or fire authority having jurisdiction.
Legal requirements. We may disclose information where required by law, subpoena, or court order, or where necessary to protect our rights, safety, or property.
Business transfers. If our business is sold or merged, customer records may transfer as part of that transaction.
Cookies, Analytics, and Advertising
Our website uses cookies and similar technologies to keep the site working properly, understand how visitors use it, and measure our advertising.
Google Analytics 4 collects information about how visitors use our site — pages viewed, time on page, and how you arrived. This data is used in aggregate to improve the site. You can opt out across all websites using Google’s browser add-on.
Google Ads helps us understand which advertisements lead to service inquiries, and may be used to show our ads to people who have previously visited our site. You can control how Google personalizes ads to you at myadcenter.google.com.
You can also set your browser to refuse cookies or alert you when cookies are being sent. Some parts of the site may not work correctly if you do.
Do Not Track. Our website does not currently respond to Do Not Track signals from browsers, because no common standard for honoring them has been adopted.
Your Privacy Rights
Privacy rights vary by state and country. Rather than sort visitors by location, we extend the following rights to everyone who contacts us, regardless of where you live:
- Access. Request a copy of the personal information we hold about you.
- Correction. Ask us to fix information that is inaccurate or incomplete.
- Deletion. Ask us to delete your personal information. We may need to retain certain service and compliance records where law, insurance requirements, or an active contract requires it.
- Opt out of marketing. Unsubscribe from marketing emails using the link in any message, or reply STOP to any text message.
- Opt out of advertising cookies. We do not sell personal information. We do use Google Ads, which may use website activity to measure our advertising and show our ads to prior visitors. You can opt out using the Google controls described above, or by emailing us at cory@southwestcommercialhoodcleaning.com.
- Portability. Request your information in a commonly used, machine-readable format.
- No retaliation. We will not deny you service, charge you a different price, or give you lower-quality service because you exercised a privacy right.
To exercise any of these rights, email info@southwestcommercialhoodcleaning.com or call (602) 332-4444. We will respond within the time frame required by applicable law, generally within 45 days. We may need to verify your identity before acting on a request.
Data Retention
We keep quote requests and correspondence for three years. We keep service records, inspection reports, and compliance documentation for seven years, because customers and their insurers frequently need historical documentation. We delete or anonymize information when it is no longer needed for these purposes.
Security
We use reasonable administrative and technical safeguards to protect the information we hold, including access controls on our email and business accounts. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Children’s Privacy
Our services are directed to businesses and facility operators, not to individuals under 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us at info@southwestcommercialhoodcleaning.com and we will delete it.
Third-Party Links
Our website may link to other sites, such as fire-code resources or industry associations. We are not responsible for the privacy practices of those sites. Review their policies before providing information.
Changes to This Policy
We may update this policy from time to time. When we do, we will revise the “Last Updated” date at the top of this page. Material changes will be noted on this page.
